Job description
ACCOUNTABILITIES
Accountable for providing appropriate administrative support to the VP of Sustainable Development (“SD”) and the Sustainable Development Group.
ACTIVITIES
In addition to general office duties, responsibilities will include, but not be limited to the following:
managing travel arrangements and proactively assisting with changes;
filing support for technical documents as required;
providing calendar support, booking meetings as required and ensuring all parties are advised of itineraries and that all changes are seamlessly integrated;
proactively preparing materials for recurring meetings, e.g., board meetings, operations meetings;
reviewing correspondence, initiating action where possible, managing small projects independently and advising the team on status where require;
preparing and editing PowerPoint presentations;
preparing file reports for status changes and ensuring all the information corresponds with the associated summary reports;
maintaining and filing Loss Management documentation;
posting information to company website and internet site and acting as lead for maintaining intranet site HSE & SD data current; and
maintaining Stakeholder database.
CONTEXT AND ENVIRONMENT
Nature of activities requires that the incumbent deal with private and confidential information.
Incumbent must be flexible and able to deal with a rapidly changing work environment.
Excellent organizational and computer skills, with advanced skills in PowerPoint, Publisher and Excel.
Required skills
Education: Degree required
Experience
The ideal candidate will possess:
a minimum of 10 years in an engineering and operations administrative experience with previous HSE & SD experience an asset;
ability to understand technical terminology and to advance minor technical work an asset;

The ideal candidate will possess:
a self-starter attitude, and the ability to work well with little supervision and strong ownership of the work;
a proven track record in successfully managing numerous, and rapidly changing priorities;
strong analytical, planning and decision making skills;
ability to facilitate the sharing of information among senior executive; and
ability to change priorities quickly to meet company demands.
