Purpose of job: To support the delivery of an efficient and effective programme through providing high quality office and administrative support services in Finance,Human Resources,procurment ,business processes and facilities management .
Context and environment: Kulana Liltanmia Programme for Sudan (KLP) is a 42 month programme started in December 2014, managed by the British Council. The programme aims to contribute to strengthened citizen-state relationships and citizen-citizen relationships in areas targeted. At the outcome level, KLP aims to contribute to a critical mass of diverse civil society actors with improved capability to lead shared discourse and vision for a more equitable, peaceful and inclusive Sudan and to engage with other key stakeholders to work towards this vision through practical collaboration on issues which matter to people locally.
Accountabilities, responsibilities and main duties:
The post holder will be accountable for all administration activities in the Programme including Procurement and managing office space. The post holder will be responsible for supporting the Finance Officer in Financial management Specific duties will include:
· To manage & support all procurement exercises in the programme, supplier relations, compliance and service delivery, and advisory support to programme staff making procurements.
To receive and respond to supplier feedback in order to develop and improve the financial services.
· To provide effective support to Finance Officer and Administration and Finance Manager to manage financial resources effectively and efficiently, whilst complying with corporate financial standards.
· To support all administrative processes affecting the arrival, presence and exit of UK appointed staff/ consultants to ensure they can carry out their duties effectively.
· Maintaining the BC Khartoum Business Continuity Plan and to ensure that BC Health & Safety standards are met.
· In coordination with Finance and Grant officer, Admin Assistant is responsible for KLP petty cash, he or she should ensure approval before release of payment.
· To Establish and maintain effective relationships with key stakeholders. · Responsible for team leader residence and house maintenance · To supervise the drivers, ensuring that outputs are achieved and that targets and standards are met ·
Supporting the administrative office processes affecting:
– Internal transport services
– International Travel ( tickets, visas, Accommodation, travel permits etc)
– Fuel management
– Health and safety
– Maintenance of Programme vehicle, equipment and assets in order to provide a safe and efficient working environment for staff.
– Maintaining and updating an inventory list making sure all inventory are recorded and maintained.
– Ensuring that all business support activities are consistent with key equal opportunities and diversity principles – Photocopying, sorting and filling all KLP documents.
– Taking the minutes of internal meetings.
– Arrangements for various events, meetings, conferences and work shops
– Any other related as requested by Team Leader or supervisor
Other important features or requirements of the job Admin Assistant work requires occasional work outside conditioned hours, for example in the evenings or at weekends. TOIL should be agreed with the line manager in advance to maintain an adequate work-life balance. Post holder may be required to travel to the states, abroad or to other offices in the region and should therefore hold valid travel documents.
