BBC Media Action in North Africa
Since the end of 2011, BBC Media Action has been working in Tunisia, Algeria and Libya to support better public service programming in the media, particularly the public and independent media. It pays great attention to serving all audiences with a content that helps them understand the challenges they face and engage in processes that affect their daily lives. A particular focus of these past years has been the youth audiences in all the countries we work in and specifically in the North Africa region. A significant share of our work focuses on capacity building and mentoring young media practitioners, in their workplace or in the training facilities BBC Media Action has developed in Tunis. Another key aspect of work includes production outputs filmed with live studio audiences. These productions require excellent coordination between the production and project teams and audience members.
Purpose of the job
The Trainee & Audience Coordinator will ensure the smooth running of the trainee programmes and production outputs, helping coordinate training and production logistics and booking audiences. The post is based in Tunis. The Trainee & Audience Coordinator will be tasked directly by the Assistant Producer, Producer and Series Producer. Attention to detail is vital, as well as a can-do attitude. As the main coordinator of trainees, they will help coordinate logistics for trainees including travel, accommodation and capacity building activities. As a key point of contact with studio audiences, they will help recruit audience members, coordinate audience travel (where necessary) and oversee audience hospitality (including meeting and greeting audiences and organising audience refreshments). In recruiting audience members, the audience booker will work with the production and project teams to ensure that there is the correct representation of different ages, genders and groups of people.
Key responsibilities
- Work closely with trainers, trainees and BBC Media Action staff to organise and coordinate capacity-building activities in line with agreed objectives
- Support smooth running of training and coordinate with planning, schedules and documentation as required
- Support in selecting trainees, monitor their progress and support their learning
- Produce, update and circulate trainee welcome pack
- To act as a key point of contact for trainees and trainers dealing with any queries around operations in Tunis
- Support in coordinating trainee and trainer travel and accommodation, including drafting and input into risk assessments for trainees
- Attend and participate in the editorial meetings as required
- Coordinate trainer and trainee evaluation of training and production
- Support the project and production teams on logistics for debate programmes such as booking flights and transport and organising visas and accommodation for consultants, panellists and audience
- Act as main point of contact between BBC Media Action and audience members
- Coordinate recruitment of audience according to agreed guidelines
- Organise audience transport where necessary
- Organise audience hospitality, including welcoming and registering audiences and audience refreshments
- Help organise audience and trainee research with the Research & Learning Team where necessary
- Be on hand to assist production and project teams during productions
- Follow BBC safety requirements and instructions and support project /country office teams to comply with BBC Media Action procedures, such as health and safety guidelines, financial management procedures and procurement guidelines as required
- Uphold BBC editorial guidelines, with support from in-country and London teams
- Be available to work in office or on location, and may be required sometimes to work long hours, on weekends or on public holidays.
Essential skills and experience
- Experience of successful project coordination and administration, ideally in the development field
- Experience in either media or development (with experience in the other being desirable)
- Excellent attention to detail
- The ability to work independently and proactively, to prioritise workloads, meet deadlines and respond flexibly to rapidly changing priorities
- Strong communication skills including the ability to write well in English
- English and Arabic fluency (French desirable)
- Excellent relationship building and interpersonal skills
- Readiness to work long hours, on weekends or on public holidays as reasonably required.
