The ICRC’s Communication and Information Management Department is offering a one-year paid Traineeship at its headquarters in Geneva. The Traineeship should start no later than July 6th, 2016.

Within the department, the Trainee will assist the Communication Corporate Services Senior Advisor (50%), in leading, in close collaboration with other colleagues at HQ, the development of strategies and guidelines for field communication corporate services (Digital, AV, Print, Language services). Additionally, s/he will work with the Publications manager (50%); the trainee will help coordinating with the Regional Communication Centres in the field (the Global Production Network) for the implementation and supervision of field budgets and policies, to reinforce production capacities in the field and help generate professional, innovative and efficient communication tools and workflows at regional and local level.

Our ideal candidate is creative and motivated to learn about how to produce communication strategies and policies and to manage and administrate field production activities (mainly print) in an international humanitarian organisation; someone who enjoys working in a multicultural environment and is interested in learning about budgeting, planning and producing publications, e-book and short films.

What you will learn

  • How to manage a production by assisting your supervisors in the creation of key production workflow documents and charts
  • How to plan and budget by acting as the focal point with the Regional Communication Centers (RCCs) and HQ colleagues; to collect and compile information related to the annual Planning for Results (PfR) and Field Production (FPB) processes carried out by HQ unites and worldwide

Main duties and responsibilities

1. Strategic Management

  • Contribute to the drafting of strategies and policies such as the Promotional Items Production Strategy and the Stock Management Global Policy
  • Improve marketing techniques by providing creative inputs on how to better promote products
  • Support the Communication Corporate Services Senior Advisor in monitoring changes and implementing RCCs’ new organisational model
  • Support for the organization of events and communication workshops

2. Field Production

  • Track productions produced by delegations by managing production databases, and, in coordination with HQ and delegations, ensure all information entered is coherent, up-to-date and in line with ICRC’s values
  • Build relationships throughout the global network by providing support to delegations with production-related questions
  • Develop new training material for production workshops and organise the annual Global Production meeting by assisting your supervisor in these activities
  • Ensure a continuous workflow between HQ, RCCs and delegations regarding publications and overall production

3. HQ Production

  • Support for meetings with clients and other units involved in the process of producing publications and PfR exercise
  • Support Publication manager to liaise on regular bases with the Regional production Officers in RCCs and keep them informed of new developments in the scope of print production and distribution activities and processes
  • Support publication manager on day-to-day administrative matters by working with teamworks, opening new projects, filling in data, reprint/update essential file uploads, etc.; collect information from various sources; manage print library (replace with new projects, hand supporting documents to clients, etc.)
  • Receive, check, sort invoices related to the Production book and update the database
  • Help ensure adherence to Corporate Visual Identity standards and guidelines on all productions
  • Support publication manager on visual identity feedback

Required training and experience

  • University degree in communications/marketing or relevant work experience
  • Experience in the management of communication projects
  • Knowledge of design/layout principles, including corporate visual identity
  • Knowledge of InDesign, Photoshop, Acrobat Pro and Publisher
  • Knowledge of online creative tools (e.g. Piktochart)

Profile

  • Strong interest in production and publications
  • Excellent commands of English and French (oral and writing)
  • Good knowledge of Microsoft Office tools, excellent command of Excel compulsory
  • Enthusiast with great interpersonal, service-oriented skills
  • Sense of initiative, autonomy and well-organized
  • Critical eye

Position length: 12 months
