Project Assistant, Africa BBC Media Action

Job Introduction

BBC Media Action is the BBC’s international development charity. Our aim is to inform, connect and empower people around the world through creative programming and media strengthening in 22 countries in Sub-Saharan Africa, Asia and the Middle East and North Africa. We focus on health, governance and rights, and resilience and humanitarian response.
We are seeking to appoint a Project Assistant to work closely with London-based Project Managers and Assistant Project Managers. You will support the effective, efficient and timely delivery of Africa Regional Programme projects. This will include the provision of administrative and organisational support to the London team and the eight BBC Media Action offices across Africa.
This is a fixed term contract until December 2014.
Role Responsibility

The Project Assistant will act as a key point of contact for the project and assist the team who are based in the UK and overseas with expense claims, processing invoices and maintaining the financial commitments log.
Ensuring the efficient operation of office systems, helping to maintain an up-to-date and comprehensive filing system for the project is a key responsibility to this position as are coordinating travel arrangements for the team and participants, managing complex itineraries and ensuring all necessary logistics are in place, including visas, hotels and risk assessments.
In addition to this you will help to support projects teams in complying with BBC Media Action procedures, such as health and safety guidelines, financial management procedures and procurement guidelines as well as other administrative and/or organisational tasks, as required.
The Ideal Candidate

The successful candidate will have exceptional organisational and administrative skills, excellent IT skills and the ability to prioritise and work well under pressure whilst paying great attention to detail. You will be an excellent communicator; coupled with the ability to deal confidently and effectively with internal and external stakeholders at all levels. Experience of managing complex and ever-changing schedules, booking travel and ensuring all logistics are in place is essential.
You’ll also have experience of working with complex projects and the ability to deal with financial information. You must be able to demonstrate a passion for the project and a keen interest in Africa is desirable.
